# Message Templates

Create and manage reusable Message Templates that help your team communicate faster and more consistently throughout SwimTech.

**Many of the messages a pool service company sends are the same or similar in nature. Message Templates allow you to create these commonly used messages once and reuse them throughout SwimTech instead of constructing the same message every time.**

SwimTech can have **unlimited Message Templates**, giving your company the flexibility to build a library of reusable communications for the situations your team encounters every day.

Coupled with SwimTech's **Messaging capabilities**, Message Templates make it easier for technicians and office personnel to communicate quickly while maintaining consistent, professional messaging across the company.

## Why Use Message Templates?

Message Templates are especially useful for communications that occur repeatedly or follow a similar pattern. Rather than asking each user to remember what to say or type the same information repeatedly, a Template provides a proven starting point.

Message Templates can help your company:

* **Save time** — Reduce repetitive message construction and typing.
* **Improve consistency** — Give technicians and office personnel a common starting point for customer communication.
* **Standardize communication** — Establish preferred wording for frequently used messages.
* **Reduce omissions** — Include important information that might otherwise be forgotten when a message is created from scratch.
* **Simplify training** — Help new team members communicate using established company practices.
* **Remain flexible** — Start with a Template and customize the message for the specific customer or situation.
* **Build a reusable communication library** — Create as many Message Templates as your company needs and use them throughout SwimTech.

Examples might include messages for upcoming service, completed service, weather delays, gate or access issues, equipment concerns, quote follow-up, customer reminders, or other recurring communications.

## 1. Message Templates LIST — Find and Manage Templates

The **Message Templates LIST** displays the reusable Message Templates available to your company.

From the LIST, use the standard SwimTech controls to locate an existing Template or begin creating a new one. Select a Message Template to open it in **READ mode**, or use the **+** control to create a new Template when available.

As your Template library grows, use the available **Search, Filter, and Sort** controls to help find the message you need.

## 2. Review a Message Template — READ Mode

Select a Message Template from the LIST to open it in **READ mode**.

READ mode allows you to review the Template and confirm that it contains the wording and information your company wants to reuse. If changes are needed, select **Edit** to move into EDIT mode.

## 3. Create or Edit a Message Template — EDIT Mode

Use **EDIT mode** to create a new Message Template or refine an existing one.

When creating a Template, think about the communications your company sends repeatedly. Give the Template a clear, recognizable name and create the reusable message content that should serve as the starting point for future messages.

A useful Message Template should contain enough information to save the user time while still allowing the final message to be adapted to the customer and situation.

When finished, select **Save** to store the Message Template for future use.

## 4. Build Your Company's Message Library

You do not need to create every possible Message Template before your team begins using SwimTech. Start with the messages your company sends most often and expand the library as recurring communication patterns become apparent.

Because SwimTech supports **unlimited Message Templates**, your library can grow with your business. Over time, frequently used wording can be refined based on what works best for your customers and your team.

This turns the experience your company develops through everyday customer communication into reusable business knowledge.

## Message Templates + Messaging

Message Templates become especially powerful when used together with SwimTech Messaging. The Template provides the reusable starting point; Messaging allows that communication to be used as part of the normal SwimTech workflow.

Instead of repeatedly switching tools and recreating common messages, technicians and office personnel can begin with established company communication and then make any changes appropriate for the customer or situation.
